Role Overview

As an Operations Administrator, your main duties will involve overseeing custodial and internal system reconciliations, as well as managing client fee processing. You will also be responsible for various tasks related to setting up and maintaining static data, in addition to participating in ad hoc projects.

Key Responsibilities

  • Perform daily reconciliations between systems and custodian records for stock and cash positions.
  • Conduct reconciliations with custodians to cover book costs and prices as needed.
  • Ensure successful completion of daily overnight data imports, investigating and resolving any issues that arise.
  • Verify that all Corporate Actions are accurately posted by the custodian, and update book costs in the systems accordingly.
  • Act as a point of contact for complex Corporate Actions matters.
  • Generate monthly, quarterly, and ad hoc fees.
  • Administer the fee charging system and understand the performance reporting system.
  • Monitor daily transaction reporting, taking action on any failed reports to comply with regulatory requirements.
  • Prepare management reports.
  • Maintain the security master file, including security set up, ISA eligibility queries, price feeds, overrides, and classification data, among other system static data tasks.
  • Establish relationships with custodians and data providers to facilitate integration of their data into systems.
  • Manage the electronic transfer system (Altus).
  • Maintain required stock watch lists in the trading system.

General Responsibilities

  • Develop and maintain comprehensive department procedures.
  • Monitor group email inboxes, ensuring queries receive timely responses within agreed service levels.
  • Provide training to new team members and those with less experience.
  • Ensure accurate and timely completion of all daily, weekly, and monthly tasks.
  • Keep track of team Key Performance Indicators (KPIs) and ensure targets are met.
  • Stay informed about industry standards, regulatory changes, and industry knowledge.
  • Review and clean up data when identifying problems or inconsistencies.
  • Undertake ad hoc projects and perform other assigned duties.

Technical Knowledge Required

  • Strong familiarity with retail financial services, investment management, or stockbroking operations.
  • Extensive experience in performing reconciliations with excellence.
  • Understanding of Nominees and Dividends.
  • Proficiency in Transaction Reporting and Global Corporate Actions.
  • Familiarity with taxation and banking procedures.
  • Knowledge of GIA/ISA/SIPP & OPB products.
  • Understanding of various security types, including collective funds, equities, fixed interest, and ETFs.
  • Excellent command of Microsoft packages, particularly Word & Excel.
  • Industry exams would be advantageous.
  • Familiarity with Pershing (UK) operations, systems, and policies is a plus.
